Are you an organized multitasker with a passion for administration, coordination and day-to-day office operations? Then you might be our next Office & Team Assistant for GRID Solutions.

You play a key role in supporting both our team and daily operations. You ensure the smooth functioning of the office while offering administrative, technical, and logistical support to colleagues across Belgium and France.

Your responsabilities:

Office Management & General Support

  • Manage shared mailboxes, incoming post, and phone calls.

  • Monitor and order office, IT, and kitchen supplies.

  • Coordinate cleaning team, maintain coffee machines, …

  • Manage access systems and badges.

  • Welcome visitors and prepare/clean meeting rooms.

IT & System Coordination

  • Track and manage laptop inventory and user assignments.

  • Coordinate IT stock and orders, follow up on open cases.

  • Set up systems (e.g. Oculus, casting tools), assist with updates.

  • Support P2P flow and Exact Online (technical setup, error resolution, documentation).

Administrative Support

  • Prepare slides, meeting materials, and monthly newsflashes.

  • Maintain and update internal manuals.

  • Assist with document translations.

HR & Team Assistance

  • Coordinate onboarding and offboarding (accounts, equipment, scheduling).

  • Scheduling medical examinations.

  • Arrange travel, taxi’s, and internal/external meetings.

  • Support team events and training logistics.

  • Provide administrative support to Belgian and French managers.

Project-specific tasks

  • Reprobel declarations, document handling, invoice follow-up.

  • Support board meeting logistics, capital raising, and events.

  • Keep website up to date and coordinate lunch orders.

Vereisten

  • You have previous experience as an Office Assistant, where you took on and managed a wide range of tasks.

  • You are detail-oriented and highly organized.

  • You can manage multiple priorities independently.

  • You communicate fluently in Dutch, French and English.

  • You are proactive, service-minded, and solution-driven.
